Role Overview
As our VP of Operations, you will be the strategic leader responsible for building and optimizing the operational engine that powers Dancing Dragons. You will ensure smooth, efficient, and scalable processes across the business, from platform functioning to internal workflows and key user-facing operations (client and coach). This fractional role requires a part-time commitment (initially 10-20 hours per week) and offers the opportunity to establish the foundational operational framework for a fast-growing, impact-driven startup. You'll work closely with the CEO, CPO, CXO, and VP of Coach Success to translate strategy into seamless execution and ensure our systems support growth and user satisfaction. This position is ideal for an experienced operational leader who thrives on creating order from complexity, optimizing processes, and building scalable systems, seeking an equity-based role in an early-stage venture.
Key Responsibilities
Platform & System Operations
- Oversee the operational health and performance of our core platform.
- Work with the Product/Engineering team to monitor system reliability and address operational issues proactively.
- Establish and manage key operational metrics for platform performance and user activity.
- Coordinate with technical teams on system updates, maintenance, and scalability requirements.
Process Optimization & Efficiency
- Identify bottlenecks and inefficiencies in existing workflows (internal and external).
- Design, document, and implement optimized operational processes to improve speed, accuracy, and resource utilization.
- Develop standard operating procedures (SOPs) for key business functions.
- Implement continuous improvement methodologies across operations.
Client & Coach Operational Support
- Optimize operational aspects of the client and coach lifecycle (e.g., scheduling mechanics, payment processing flows, account administration).
- Collaborate with Client Success and Coach Success VPs to ensure operational processes support their strategic goals.
- Oversee or define the process for handling operational support inquiries and escalations.
Tools, Technology & Infrastructure
- Evaluate, select, and implement operational tools and software (e.g., project management, internal comms, support ticketing, operational analytics).
- Ensure our operational technology stack is integrated, efficient, and supports scalability.
- Manage vendor relationships for key operational systems.
Operational Planning & Scalability
- Develop operational plans that align with the company's growth trajectory.
- Forecast operational resource needs (tools, processes, potential future team).
- Identify potential operational risks and develop mitigation strategies.
- Provide operational insights and data to inform overall business strategy and decision-making.
Qualifications
Required
- Bachelor's degree in Business, Operations Management, or a related field.
- 7+ years of experience in operations management, business process optimization, or operational leadership roles.
- 3+ years in a leadership role managing complex processes or teams.
- Proven track record of designing and implementing efficient, scalable operational processes.
- Strong analytical and problem-solving skills with a data-driven approach.
- Experience working with and implementing operational software and systems.
- Excellent project management and organizational skills.
- Ability to thrive in a dynamic, fast-paced environment.
- Comfort with a part-time, strategic role with flexible time commitment.
Preferred
- Experience in tech platforms, marketplaces, or subscription business models.
- Background in the coaching, wellness, or ed-tech industries.
- Experience scaling operations in an early-stage startup.
- Familiarity with compliance frameworks relevant to online service platforms.
- Experience building and managing remote or distributed operational processes.
