Role Overview

As our Chief of Staff, you will serve as a strategic partner to the executive team, providing critical support in operations, coordination, and execution of key initiatives. This senior leadership role requires 15-20 hours per week and offers significant equity potential as you help drive operational excellence and strategic alignment across our growing startup. You'll act as a force multiplier, ensuring smooth communication, effective project management, and seamless execution of cross-functional initiatives that will scale our platform's impact.

This position is ideal for an experienced operations leader with exceptional organizational skills, strategic thinking, and the ability to work across all functions of the business. You'll be the connective tissue between teams, helping translate vision into actionable plans and ensuring nothing falls through the cracks as we scale.

Key Responsibilities

Strategic Operations & Coordination

  • Serve as a strategic partner to the executive team, providing support on key initiatives and decision-making
  • Coordinate cross-functional projects and ensure alignment across departments
  • Facilitate executive meetings, prepare agendas, and ensure follow-through on action items
  • Develop and implement operational processes and systems to improve efficiency and scalability
  • Track key metrics and KPIs across the organization, providing regular updates to leadership
  • Identify bottlenecks and inefficiencies, proposing and implementing solutions

Project Management & Execution

  • Lead and manage critical projects from conception to completion, ensuring timely delivery
  • Create project plans, timelines, and milestones, tracking progress and adjusting as needed
  • Coordinate resources across teams to ensure projects have the support they need
  • Manage stakeholder communications and ensure all parties are informed and aligned
  • Anticipate risks and proactively address challenges before they become blockers
  • Document processes and create playbooks for repeatable operations

Communication & Information Flow

  • Ensure effective communication flows between executive team and all departments
  • Prepare executive briefings, presentations, and reports for internal and external stakeholders
  • Facilitate team meetings and ensure decisions are documented and communicated
  • Act as a liaison between different teams, helping break down silos and improve collaboration
  • Manage internal communications and ensure important updates reach the right people
  • Create and maintain documentation for key processes and decisions

Strategic Planning & Analysis

  • Support annual and quarterly planning processes, helping translate strategy into actionable plans
  • Conduct research and analysis to support strategic decision-making
  • Monitor industry trends and competitive landscape, providing insights to leadership
  • Help prioritize initiatives based on impact, resources, and strategic alignment
  • Support fundraising activities, investor relations, and board preparation as needed
  • Analyze operational data to identify opportunities for improvement

Team Support & Development

  • Support hiring processes and onboarding of new team members
  • Help build and maintain company culture and values across the organization
  • Facilitate team-building activities and ensure strong working relationships
  • Identify training and development needs and help coordinate learning opportunities
  • Act as a resource for team members, helping remove blockers and solve problems
  • Support performance management processes and goal-setting initiatives

Qualifications

Required

  • Bachelor's degree in Business, Operations, or related field; MBA preferred
  • 5+ years of experience in operations, project management, or executive support roles
  • Proven track record of managing complex projects and coordinating cross-functional teams
  • Exceptional organizational skills and attention to detail
  • Strong communication skills, both written and verbal, with ability to work with diverse stakeholders
  • Strategic thinking ability with strong analytical and problem-solving skills
  • Comfort with ambiguity and ability to thrive in a fast-paced startup environment
  • Proficiency with project management tools and productivity software
  • Comfort with a flexible, results-oriented role with significant equity upside

Preferred

  • Previous Chief of Staff or similar strategic operations experience
  • Experience in the coaching, wellness, healthcare, or personal development industries
  • Background with digital platforms, SaaS, or marketplace business models
  • Experience with startup environments and scaling operations
  • Knowledge of fundraising, investor relations, and board management
  • Experience building and implementing operational systems and processes
  • Strong network in relevant industries and communities
